The main functionality for the Requisition Approval Screen as a buyer is to review and update the reqs that are coming in to make sure they have accurate information in them before pushing them into the approval process.

When the user clicks on the RAPS Req Approval button, the following screen will pop up.

This screen shows the outstanding requisitions needed to be reviewed by the buyer. 

The modes at the top are explained below.

Find

The find mode will allow users to search by order number. It will automatically default to the column on which the sort is applied (identifiable by the icon).

 
 

Cancel

The cancel mode will delete the requisition. Only the user who submitted the requisitions can cancel it.

 
 

Reject

The reject mode will reject the requisition back to the end user. The req will show up in the end users Req Approval Screen ready to be actioned. That user can resubmit or cancel the req at that time.

Notes can be added as to why it is rejected to give the end user direction on why it was rejected.

 
 

Header

The header mode brings the buyer to the header of the requisition. The buyer can use the correct mode to change the vendor, warehouse, or any other important information on the header.

 
 

Lines

The lines mode brings the user back to the initial enter lines screen. As a buyer, the user can use the correct mode to correct any lines on the requisition before submitting it for approval.

 
 

Budget Review

The budget review mode allows the user to see what the budget amount is for the year vs what was used to date.

 
 

Notes

The notes mode allows the user to add notes to the requisition.

 
 

Revised

The revised mode allows the user to accept the requisitions. The following prompt will appear.

The requisition then goes through the Requisition Approval Process.

 
 

Audit

The audit mode allows the user to see the historic of modifications made to the requisition.

 
 

Unbudgeted

If the unbudgeted major function flag is on, then this requisition will flow up the unbudgeted RAPS officer table since it's flagged as out of budget.

 
 

Cashflow

Cashflow mode is only used when the ATC Module is on. This mode is used to forecast when expenses will hit each month/year. For more information please view the ATC Wiki

 
 

DocReg PO

The doc reg button opens up a new tab which takes the user to the document register website. This is the folder where the files are hosted.

 
 

Print

This mode will print a copy of the requisition to a printer of the users choice.

 
 

Split

The Split mode is used when the buyer wants to split a line or lines off the current requisition. When this happens it will create a new requisition. For example: We have Req 2676 with two lines. If we wanted to split this req we would use the split function and it would create a new req with the next available number. The lines that are split off will show up on the new requisition. This can be used if two different suppliers are needed for one requisition. 

When the user clicks on the split mode it will populate with the line detail of the requisition. Here the user can tell the program which lines and qty of those lines do they want split off. The user will use the correct mode to change the Split Qty field.

The user can split the whole line off or partial depending on the situation. Once the user has updated the split qty fields with the correct amount, the user will then use the split mode.

Once the order is split the program will give the user a pop up.

Now when the user goes into the Requisition Approval Screen the new requisition will appear.

The new requisition will have only the lines and qty that were split off the original. The split requisition will also follow the same approval workflow as the original requisition. It takes on the user who submitted the original requestion.

Now that the requisition is split the buyer can go in and change pricing, suppliers, etc. and treat these two requisitions separately without having to reject and let the user raise two separate requisitions.
